In addition to their pay-to-use invoice and time-tracking app, Paydirt offers a free invoice template. One of the things that makes this template unique is that you can connect it to your PayPal account, giving your clients an easier, more immediate way to pay you. If you are emailing invoices to your clients, it is never a bad idea to send them in PDF form, so they can not be edited. Sending Word docs or even Google docs with opening editing access can just make things more complicated if the client (even unintentionally) edits the invoice and then gets confused about what they owe and when.
Send, If you are emailing your bill, make sure to use a clear, descriptive, and accurate subject line. If you are using PayPal Invoicing, you can simply click Send to have PayPal send your invoice or you can select share link myself to share the invoice link in your own email, text, or chat message. Invoice date, This should be the day you send the bill, not the day you created it. Make sure your invoice date, payment terms, and due date line up, if your payment terms are 30 days, then the due date should be exactly 30 days from your invoice date. And, use this date format to solve for international differences: Month (spelled out), date, year.
In the original article that I wrote about invoices, I stated that I just stick with a Word document. If I have time, I will change it to PDF, but that does not always happen. Another common practice that I have seen is using an Excel spreadsheet to generate the invoice. But one important consideration that I did not mention back then is the plethora of accounting software out there. Due to affordable small business-targeted options such as Freshbooks or Quickbooks, you may never have to generate an invoice yourself anyway. An invoice serves several purposes. It is not just the catalyst that gets you paid, although Id venture to say thats the 1 role, huh? But that invoice is often needed by the buyer for other reasons. They need that record. They need to prove that they paid you, often so they can write off your payment. In my years of writing, I have only had one client, a magazine, that did not need an invoice. Iam not sure why or how they managed that.
