In the original article that I wrote about invoices, I stated that I just stick with a Word document. If I have time, I will change it to PDF, but that does not always happen. Another common practice that I have seen is using an Excel spreadsheet to generate the invoice. But one important consideration that I did not mention back then is the plethora of accounting software out there. Due to affordable small business-targeted options such as Freshbooks or Quickbooks, you may never have to generate an invoice yourself anyway. An invoice serves several purposes. It is not just the catalyst that gets you paid, although Id venture to say thats the 1 role, huh? But that invoice is often needed by the buyer for other reasons. They need that record. They need to prove that they paid you, often so they can write off your payment. In my years of writing, I have only had one client, a magazine, that did not need an invoice. Iam not sure why or how they managed that.
Invoice templates are managed in Tools, Settings, Invoice templates. Default templates or inheritance for templates can be set for business units, accounts and cases. If needed, invoice template can be changed on individual invoice also. Admin user can also create invoice template directly from an invoice. Use invoice templates to predefine settings for invoices. Using the templates invoice header blocks (such as accounts billing details or logo) can be repositioned. Enter text into notes before and after invoice rows fields to be shown on each invoice that uses that template. From the settings-tab of the invoice template you can define how invoice rows are displayed, for example invoice row description or grouping.
Send, If you are emailing your bill, make sure to use a clear, descriptive, and accurate subject line. If you are using PayPal Invoicing, you can simply click Send to have PayPal send your invoice or you can select share link myself to share the invoice link in your own email, text, or chat message. Invoice date, This should be the day you send the bill, not the day you created it. Make sure your invoice date, payment terms, and due date line up, if your payment terms are 30 days, then the due date should be exactly 30 days from your invoice date.
